Problem
Handling incoming reports required coordination between partners, admins, and staff of the Legal Services Division.
Initial information came in through LBH APIK Jakarta's hotline, then was forwarded by an admin to the team handling legal services. Staff would then need to contact the partner again to complete the information through a form.
This process involved several stages of recording and moving data between tools. A clearer flow was needed to connect report intake with case documentation and data management.
Solution
An online reporting flow was built, mapping the process from the moment a report first comes in to when case data is recorded in the system.
This system is part of a broader effort to develop web-based violence-against-women reporting tools to support case documentation and data management.
Online Reporting Flow
01 — Report Intake
A partner or survivor contacts the LBH APIK Jakarta Hotline to submit a report.
↓
02 — Information Forwarded
The admin receives the message and forwards it to the Legal Services Division group for follow-up.
↓
03 — Form Completion
Legal Services Division staff contact the partner and request that they complete the Online Partner Form.
↓
04 — Documentation
Once the form is returned, staff upload the document to Google Drive as part of the documentation process.
↓
05 — Data Reporting
Form data is then planned to be entered into the Online Data Reporting Application, built to support case recording and data management.

Rather than building a form or application in isolation, the existing workflow was mapped first: report intake → forwarded to the team → information gathering → documentation → data reporting.
